# Outreach

> Find third-party articles/domains worth pitching for coverage and manage the outreach pipeline for contacting their authors.

## Purpose

The Outreach page is designed to help you find third-party articles and domains worth pitching for coverage, and to manage the pipeline for contacting their authors. It bridges discovery (identifying high-impact sources that influence AI search responses) with execution (a Kanban board to track who you've contacted, draft emails, and log statuses).

## What's on the page

**Page header**
Shows the "Outreach" title with an info tooltip explaining the two tabs: "Opportunities: Discover authors to reach out to" and "Progress: Manage your outreach pipeline." It also contains the tab switcher.

**Opportunities tab**
A filterable, sortable table listing candidate domains or URLs (citation sources) that you might want to reach out to. Features an "Intervene" button on every row to kick off the outreach process.

**Progress tab**
A 4-column Kanban board (To do / In progress / Done / Canceled) displaying contacts you are already working with. Cards show the URL, assigned team member, author name, email, subject, and a short message preview.

**Writer Contact Drawer**
A side panel that opens from either tab when you interact with a specific contact or URL. It is used to research the author's contact information, draft or edit an outreach email, track the pipeline status and assignee, and view the edit history of that contact.

**Types / Source Tags Drawer**
Opened via the "Tags" button. This drawer allows you to manage the custom source tags and types used to classify domains.

**Edit Source Tags Dialog**
A pop-up to change which tags apply to a specific domain, opened by clicking a row's Type badges in the Opportunities table.

**Export dialog**
A screen to configure and download your outreach URL data as a CSV file.

### Opportunities table

Lists third-party URLs/domains that cite or mention your brand, displaying metrics to help you prioritize your outreach efforts.

* **URL**: The source URL or domain, featuring a site favicon and a link icon to open the site externally. Clicking the row text opens source analytics.
* **(Intervene)**: An action button (the column header is intentionally blank) that opens the Writer Contact Drawer for this URL. It displays a colored dot if a contact status already exists.
* **Type**: Badges showing how the source is classified (e.g., owned, competitor, partner, or your custom tags). Click to edit.
* **Citation %**: Percentage of AI responses with citations from this domain. (Tooltip: "Percentage of responses with citations from this domain")
* **Monthly Impressions**: Estimated monthly impressions, calculated from the citation % multiplied by the estimated prompt volume. (Tooltip: "Citation % \* Estimated Prompt Volume")
* **Citations**: Number of times this domain was cited across simulated AI responses. (Tooltip: "Number of times this domain was cited in simulated responses")
* **Mentioned**: Whether your brand was mentioned in sources from this URL. (Tooltip: "Whether you were mentioned in sources from this URL")
* **AI Access**: Indicates whether AI search engine crawlers can successfully access and crawl this domain. (Tooltip: "Scan whether AI search engines can crawl this domain")
* **Competitors Mentioned**: Lists which of your tracked competitors are mentioned in sources from this domain. (Tooltip: "Competitors mentioned in sources from this domain")

### Progress Kanban board

Groups your active outreach contacts by their pipeline status.

* **To do**: Contacts that have not been started yet.
* **In progress**: Contacts you are actively researching or messaging.
* **Done**: Outreach completed successfully.
* **Canceled**: The article or domain was deemed unsuitable for outreach.

### Drilldowns

* **Clicking a table row** (outside of specific links or buttons) navigates you to a detailed source analytics page for that specific URL.
* **Clicking Type badges** in a row opens the Edit Source Tags Dialog to update the classifications for that domain.
* **Clicking "Intervene"** (or clicking a Kanban card) opens the Writer Contact Drawer to manage the outreach details for that URL.
* **Clicking the AI Access badge** opens the AI Accessibility modal, which shows the details of the AI crawler scan for that domain.
* **Clicking the "Tags" button** opens the Source Tags Drawer to manage all tag definitions.

## What you can do here

* **Switch tabs**: Click "Opportunities" or "Progress" to toggle between the table and board views. This updates your URL so you can share a link to a specific tab.
* **Filter & Search**: Use the filter bar to refine the Opportunities table by Search, Date range, Prompt tags, Prompt status (active/archived/both), Models, Prompts, Competitors, Brand mentioned (yes/no/both), Opportunity status (defaults to 'active'), Owned domains, Source Tag, or Saved views.
* **Intervene**: Click the "Intervene" button on a row to open the Writer Contact Drawer.
* **Open URL**: Click the external link icon that appears when hovering over a URL to open it in a new browser tab.
* **Edit Types**: Click the Type badges on a row to add or remove source tags.
* **Manage Tags**: Click the "Tags" button at the top to open the Source Tags Drawer.
* **Change Columns**: Click the "⋯" (More options) menu, then "Columns" to toggle column visibility or drag to reorder them.
* **Export**: Click the "⋯" (More options) menu, then "Export" to download a CSV of the opportunity data. You can adjust the export count or select "Export all" in the dialog. *(Note: Requires an active paid subscription plan; free plans will see an upgrade dialog instead).*
* **Load More**: Click "Load More" at the bottom of the Opportunities table to fetch the next page of results.
* **Drag Kanban cards**: On the Progress tab, drag a card between columns to update its status.
* **Change Assignee**: Click the assignee avatar on a Kanban card to open a dropdown menu to reassign the contact to a teammate or mark it as Unassigned.
* **Writer Contact Drawer actions**:
  * **Change Status**: Use the Status dropdown at the top to switch between Todo, In Progress, Done, or Canceled. (Changes are saved with history tracking).
  * **Change Assignee**: Use the Assignee picker next to the status to assign a team member.
  * **Find author**: Click the "Find author" button (sparkle icon) to run an AI extraction that looks for the author's name, email, and LinkedIn profile from the article.
  * **Draft/Regenerate message**: Click the "Draft" (or "Regenerate") button to use AI to write an outreach subject and email body based on the article content.
  * **Edit message**: Click "Edit" to enable inline editing of the subject and message.
  * **Save/Cancel changes**: Click "Save" to persist your edits, or "Cancel" to discard them.
  * **Custom Prompt**: Click the "Prompt" button (settings icon) to show or hide a text area where you can write custom instructions for the AI message generator (e.g., "Match the voice of a senior engineer").
  * **Copy info**: Click the copy icons next to the email, full email text, or LinkedIn link to copy the values to your clipboard.
  * **Open in mail client**: Press `Cmd+Enter` (Mac) or `Ctrl+Enter` (Windows) to save pending edits and open your computer's default email client via a `mailto:` link.
  * **Open URL in new tab**: Click the external link icon in the drawer header to open the source article.
  * **View History**: Click the activity/history toggle to show or hide the change log for the contact.

## Data shown

* Your tracked third-party articles and domains that cite or mention your brand.
* The outreach pipeline records (contacts, emails, drafted messages, statuses) associated with those domains.
* Your organization's team members (for assigning contacts).
* Your tracked competitors and their logos.
* The custom source tags and types configured for your website.
* The results of AI accessibility scans for specific domains.

## Common workflows

**1. Find and start outreach to a new source**

1. Open the Outreach page on the **Opportunities** tab.
2. Filter and sort the table to find a promising domain (e.g., sort by high Citation %, or filter for competitors mentioned).
3. Click **Intervene** on that row.
4. In the drawer, click **Find author** to extract contact info.
5. Click **Draft** to generate an outreach message using AI.
6. Edit the message if needed, then click **Save**.
7. Open in your mail client or copy the text to send it.

**2. Manage outreach pipeline**

1. Switch to the **Progress** tab.
2. Review contacts across the To do, In progress, Done, and Canceled columns.
3. Drag a card to a new column to update its status, or click the card to open the drawer and change the status there.
4. Reassign a teammate by clicking the avatar dropdown on the card.

**3. Export opportunity data**

1. Click the More options (**⋯**) menu in the Opportunities table.
2. Select **Export**.
3. If on a paid plan, configure the export size and filters in the dialog, then click Export. If you are on a free plan, you will see an upgrade dialog instead.

**4. Classify a domain's type/tags**

1. Click the Type badges on an opportunity row.
2. In the Edit Source Tags Dialog, add or remove tags for that domain.
3. Click Save.

## Empty, loading, and error states

* **Empty**: A message reading "No sources data available." appears in the Opportunities table when filtering yields no results.
* **Loading**: A centered spinning loader is shown while the Opportunities table or Kanban board data is fetching.
* **Error**: A message reading "Unable to load outreach data. Please try again." appears with a "Try again" button in the Opportunities table if the data fails to load.

## Linked from / links to

* **Linked from**: Accessible via the main navigation sidebar.
* **Links to**:
  * Source analytics pages for specific URLs.
  * The billing and subscription settings page (via the export upgrade dialog for free plans).

## Common support questions

**Why can't I see the Export option working?**
Data exports are only available on paid subscription plans. The export button is always visible, but if you are on a free plan, clicking it will prompt you to upgrade instead of downloading a CSV.

**Where did a domain go after I moved it to Canceled?**
Dragging a card to the "Canceled" column removes it from the Opportunities table because the default Opportunity Status filter only shows "active" statuses. You can change this filter to view canceled items again.

**Can my team see the custom AI prompt instructions I wrote?**
No. Custom prompt instructions in the Writer Contact Drawer are saved locally in your specific browser, per website. They do not sync to the cloud, meaning they won't carry over to a new computer or be visible to your teammates.

**Why isn't my teammate showing up in the assignee list?**
The assignee list only shows users who have access to the current website workspace. Ensure your teammate has been invited to the workspace.

**How does the "Intervene" button sort?**
The Intervene column intentionally has no header text, cannot be hidden, and cannot be sorted. It will always snap back to the second column position even if you try to drag and drop it elsewhere in the column settings.
